Ashampoo PDF Pro is a desktop PDF editor for Windows that creates, edits, converts, compares and protects PDF files in one application. The current version, PDF Pro 5, moved to a full 64-bit engine so it can use all available system memory when opening large scanned or multi-hundred-page files.
Word-like editing – Familiar ribbon interface reduces retraining time.
Searchable archives – OCR makes scanned paperwork findable later.
Contract review – Side-by-side comparison highlights changed clauses quickly.
Bulk document work – Batch processing applies changes across many files.
Safe sharing – Redaction removes image data permanently on save.
Local processing – Conversion and OCR run on your PC.
It edits existing PDF files directly, without needing the original Word or InDesign source document. Text and images can be changed in place, pages inserted, rotated, replaced or removed, and finished files exported to Word, Excel, HTML, EPUB, RTF or JPG for further processing. A virtual PDF printer is installed alongside the program, so any Windows application with a print function can produce a PDF. In practice this covers the common office case where a supplier sends a locked price list as a PDF and someone has to correct two figures and reissue it the same day.
Ashampoo PDF Free is a reader and page organiser; Pro is the editing and conversion product. Ashampoo confirms that OCR text recognition, document comparison, conversion to Word or Excel, full content editing and encryption are Pro-only functions. The Free edition still opens and prints PDFs, merges files, moves or deletes pages, fills interactive and static forms, and includes the same PDF printer driver. If your work stops at reading and filling in forms, the Free version is sufficient; the moment you need to change wording inside a finished PDF or make a scan searchable, only Pro will do it.

It applies certificate-based digital signatures locally, but it does not include a send-for-signature service. Ashampoo describes the signature function as the digital equivalent of an ink signature that shows authenticity and reveals later tampering, and signing happens entirely inside the program on your own PC. What is not part of the product is a signer workflow with e-mail invitations, signing links, status tracking and an audit trail, as offered by dedicated e-sign platforms. If your contracts must be countersigned by external parties and the process has to be documented for compliance, plan for a separate e-signature service alongside Ashampoo PDF Pro.
Ashampoo lists Windows 11 and Windows 10 as the supported systems for PDF Pro 5, and nothing else. There is no macOS, Linux, iOS or Android edition, and Windows Server is not named as a supported platform, which rules out terminal-server or remote-desktop rollouts. The free companion edition additionally supports Windows 8, so a mixed environment with older machines cannot simply be standardised on Pro. Check your oldest workstation first: this is the single most common reason a PDF Pro purchase turns out to be unusable on one desk in the office.
The built-in OCR engine turns scanned pages and images of text into text you can select, search and edit, and it can output a searchable PDF. Recognised text can be corrected inside the program or exported to Word for heavier reworking, which matters because OCR output from a crooked or low-contrast scan always needs a proofreading pass. Pages can also be pulled straight in from a connected scanner, so an invoice goes from paper tray to searchable archive file without a detour through a separate scanning tool. Recognition quality depends on scan resolution and page condition, so treat OCR as a strong first pass rather than a hands-off conversion.
The most important limitation is legal rather than technical: the end user license agreement grants a non-commercial and personal right of use, so business use requires a commercial license from Ashampoo instead of the standard retail product. On the feature side, there is no cloud storage integration, no browser or mobile companion app, and no shared review workspace, so every document stays on the local machine and is exchanged by e-mail or network share as before. Redaction is only made permanent when the file is saved, which means a redacted document must be saved and reopened before it is passed on. For a freelancer digitising receipts this is rarely an obstacle; for a team that expects cloud sync and mobile signing it is a genuine mismatch.
Find and replace works across text, fonts and hyperlinks, and can be applied to several files at once. That covers a specific and tedious job: a company changes its web address or brand name, and two hundred archived PDF datasheets still carry the old one. Instead of rebuilding each document from source, the replacement runs across the file set in the program. Drag two PDFs onto the window and it starts a direct comparison, which is the fastest way to see what a client actually altered in a returned contract.
Yes, batch processing applies operations to multiple PDF files in a single run, and merging works by dragging files onto the program window. This is the practical route for tasks such as adding page numbering or a watermark across a whole folder of reports.
Yes, PDF/A creation is part of the program. That is the format most retention rules expect for documents such as invoices, because fonts and layout are embedded so the file still renders correctly years later.
Yes, a virtual PDF printer is installed with the program, so any Windows application with a print function can output a PDF. Images can be downsampled automatically during creation, which keeps file size manageable when a document has to be e-mailed or published.
